Investment firm looking for a professional and experienced Corporate Administrative Assistant. The administrative assistant with good multitasking skills due to assisting multiple people in the office.
Monday-Friday; traditional business hours.

Duties:
- Answer multiline telephone, direct calls appropriately or provide answers to questions or requests, some of which may be complex in nature.
- Experience dealing with CEO-level clients via telephone, email, and in person to ensure proper etiquette, promptness, professionalism.
- Arrange complex domestic and international travel itineraries using the Frosch/Deem system, understanding the need to adjust for time zone differences, travel time between meetings, and hotel proximity. Anticipate future travel needs and proactively address travel related issues such as weather delays.
- Submit expense reports in a timely manner: anticipate travel reports, gather, and organize receipts, process in Workday, and monitor to completion.
- Proactively manage business calendars for meetings, appointments, calls, invitations, luncheons, and travel.
- Perform research on companies, stocks, selected topics, etc. utilizing internal and external information sources and expertise.
- Establish, organize, and maintain departmental files, both routine and confidential, and control access.
- Create and maintain databases on various topics such as client lists, project lists, etc. as appropriate to departmental functions.
- Prepare documentation for billing of clients, file with accounting, and follow up.
- Periodically prepare documents used in client presentations, coordinate printing and distribution of material.
- Upbeat and pleasant personality, prepared to work in the office daily with a set work schedule, contribute to a team environment.
EDUCATION AND/OR EXPERIENCE
- Associate's degree or equivalent work experience.
- Minimum of two years of experience in an office/administrative role within a professional services industry, which included supporting senior level management and professionals.
- Financial Services experience recommended; Investment Banking experience preferred.
- An equivalent combination of education, training, or experience
